Workflow

Workflow management allows you to streamline and organize the process of updating and maintaining product information. By creating specific workflow steps and assigning tasks to different roles, you can ensure that each aspect of your product data is carefully managed and updated by the right team members.

How to create a new workflow

  1. Access the workflow: Navigate to the 'Workflow' tab in your KatanaPIM dashboard.
  2. Add Workflow steps: Provide a name for each workflow step in the designated field, such as "Basic Data," and click "Add Step."
  3. Repeat this process to create additional steps like “Content”, “SEO”, “Specifications" and so on.

How to add data fields to workflow steps

  1. Assign specific data fields to each workflow step by dragging and dropping them into place.
Examples of field allocation:
- For 'Basic Data,' include fields like 'Name,' 'SKU,' and 'GTIN.'
- 'Content' might have 'Short Description,' 'Long Description,' 'Main Image,' etc.
- Assign 'Meta Titles' and 'Meta Descriptions' to 'SEO.'
- 'Specifications' will cover specification groups.

Managing specification groups in the workflow

  1. Assign specification groups: Choose which roles or teams will manage different specification groups.
  2. Customizing assignments: Adjust the leading role for each group and reassign groups as needed.
For instance, assign all specification groups to the Content Manager or distribute them among various teams.

Utilizing Workflow filters

Filter products based on Workflow:

  1. To locate products by workflow status, go to 'Catalog' and 'Manage Products,' then select 'Workflow.'
  2. Apply filters based on completion status, workflow step, user role, or specific users.
